Salary: £35,000 - £40,000 + package

Capstone have partnered with a leading, international, specialist residential asset management company, responsible for managing a mixture of luxury, private, and social housing properties. Their London office was established in 2020, and since then has gone from strength to strength, acquiring a substantial portfolio of properties. The Company employs in-house teams in lettings, property management, and back-office support services. The UK company is a young, dynamic, and thriving business that is continuing to seek new UK opportunities for development and growth. The office is based in central London with easy access to transport links.

The Role

The Estate Manager will report to the Senior Asset Manager and must ensure the Group's properties are maintained to a high standard by conducting management and maintenance supervision of the estate to a high standard, obtaining maximum productivity, efficiency, quality service, and upholding all aspects of compliance. Adherence to budget is a key aspect of the role.

Responsibilities of the role include:

Operational

  • Managing multiple properties to ensure quality control of all assets, estate, security, health, and safety.
  • Overseeing Reactive/Planned maintenance of all assets and ensuring timely attendance of service providers.
  • Ensuring buildings comply with applicable procedures and relevant legislations, including Health and Safety.
  • Reviewing Service Charge Budget and expenditure from External Managing Companies of Leasehold blocks.
  • Maintaining accurate records and documentation of building activities and submitting monthly reports to the Head of Department.
  • Reviewing and ensuring repairs following HSRA & FRA are completed within the stipulated timeframe.
  • Overseeing/managing Minor New Works and property renovations.
  • Actively engaging in Contract selection of service providers.
  • Understanding all aspects of estate management services and supporting your team to confidently deal with all aspects of their roles.
  • Preparing and managing allocated budgets to quality standards and records.
  • Adding value through cost-saving by ensuring works are conducted effectively and efficiently at minimal cost.
  • Ensuring a collaborative working approach with stakeholders e.g., Lettings, Property Managers, Property Accountants, and other external agents.

Team Management

  • Engaging with onsite Building Caretakers/Concierge/Securities on the smooth running of the property, creating estate manuals (key log reg, water flushing reg, compliance reg), and devising the management plan.
  • Conducting monthly audits of Building Managers' schedules followed by quarterly appraisals.
  • Ensuring Building Managers strictly adhere to weekly compliance tests within their buildings, reviewing reports, and taking appropriate action.
  • Actively engaging in the training and development of your Building Managers.

Supplier Management

  • Managing service suppliers for prompt response in accordance with the 'Service Level Agreement' and ensuring jobs are conducted to specification/satisfaction with recalls at no extra cost.
  • Monitoring the performance of service providers, providing reports on efficient performance, and advising on contract renewals.
  • Coordinating with External Managing Companies and ensuring timely response to communal-related issues within their remit.
  • Ensuring Work Permits and suitable RAMS are submitted by contractors.

About You

We are looking for a responsible and initiative-taking individual with a high work ethic and previous residential maintenance experience who is willing to get stuck in. You will be responsible for managing the allocated assets, but you also need to be a team player. Essential:

  • Experience in Block/Estate Management and understanding of all aspects of Block Management Services.
  • Strong proficiency in residential block management compliance.
  • Experience in Service Charge/Budget/Cost Saving management.
  • Health & Safety knowledge and experience of implementation.
  • Highly organised with the ability to multi-task.
  • Negotiation and time management skills.
  • Self-motivated and driven to achieve outstanding results.

Desirable:

  • Built-to-rent or freeholder experience background.
  • IOSH or NEBOSH qualification.
  • ATPI Qualified.
